Process Management
In basic terms this component has the features of a workflow system.The system's design is based on processes.Every process can be individually designed with its own hierarchy and role structures.
Processes are supported by alert systems. Requests made within a process are forwarded to the appropriate units while alert messages are automatically sent (via e-mail) to users according to their defined roles. Standard completion periods are defined for processes and alert messages are also sent out automatically to the user and to his immediate superior in situations where these periods are exceeded.
All processes can be analyzed in reverse, which makes it possible to identify where requests are bottlenecking and take action accordingly. With additional adaptations, it is also possible to monitor the personnel involved in a process as well as process performance.
Document flow
EASY makes it possible to track the movement of both printed and electronic documents. Installation of EASY includes the integration of all the fax machines, scanners, and other peripherals needed for the system's operation. By means of central and individual back office modules, it is possible to accommodate office applications such as document registration and archiving within the system as well. The system also handles document distribution.
In system-supported approval processes, a document can be automatically circulated and approved among appropriate units without there ever being a need for a wet signature.
Whenever a printed or electronic document is needed, it can be procured from the appropriate unit through EASY. Printed documents such as invoices, reports and paper can all be distributed throughout the system in electronic format.

Hierarchical structure
It is possible to create hierarchical structures by means of individual, group, role, and authority definitions. Personalized screens enable users to identify better with their roles and authorities and be more aware of them.
The application contains an authorization mechanism by means of which users are only able to see and query tasks that fall within the scope of their authority. Managers can monitor their subordinates and only authorized users are able to intervene in document flows. All activity taking place in the EASY system is constantly monitored and recorded.
Technological infrastructure
The EASY system was developed as an HTML-based web application with XML/XSL/Java support. This means that users can access it without the need for installing anything else on their computers: an internet browser is all that is required to enter and navigate the system.
Document Management System
The document management system is an EASY subsystem for operating and managing an electronic archive. This application makes it possible to monitor and manage documents independently of the processes that led to their creation.
